Guest Accommodation Agreement

As a guest of Locale, you’re also a guest of the residential community your apartments belong to. We strive to provide our guests with an exceptionally clean, safe, and friendly experience. The following House Rules have been established based on industry standards, management and operational procedures. These rules are considered a part of our reservation agreement with you. As our guest, you are agreeing to abide by all of our House Rules, terms and conditions, and procedures.
This Guest Agreement (the "Agreement") is made by and between Locale Hospitality, Inc. (the “Company”, “Host", “we”, “us”) and the guest ("Guest") as of the date last set forth on the signature page of this Agreement. For good and valuable consideration, the sufficiency of which is acknowledged, the parties hereby agree as follows:
We prohibit smoking of any kind, at all times, in your unit, balcony, or anywhere on property. For safety and to assure that our apartments are not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests, staff, and residents, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cigars, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility. This includes inside the apartment, on any balcony or patio, as well as within 15 feet of any public entrance.
NO IN-ROOM PARTY
Locale enforces a No In-Room Party Policy to ensure we can protect the hotel and our guests at all times. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. Our apartments are monitored with noise detecting software that registers sound greater than 50 db. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the premises without refund. Registered guest(s) is responsible for all persons visiting. Non-Registered visitors are only permitted until 10:00 P.M. You will be ordered to vacate the premises without refund and may be assessed a Guest Compensation Disturbance Fee.
All reservations must be guaranteed with a valid major credit card. We accept Visa, Master Card, American Express, and Discover Card. Your credit card guarantees your reservation and may be held for incidental charges. Locale is not responsible or liable for weather conditions, personal emergencies, or schedule changes. Guests must be 21 years and older and present a government issued photo identification prior to check-in. Locale reserves the right to cancel reservations anytime after confirmation where guests do not provide ID or credit card information.
Early check-in is offered based on availability. If you require a guaranteed check-in for arrival prior to 4 p.m. then payment may be required. Please contact our staff directly at (512) 580-7606 to make reservations and complete a credit card authorization form prior to your arrival.
Guests must be at least 21 years of age to check in at Locale properties. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government issued photo identification (State driver’s license, passport, etc.) anytime after booking and prior to check-in. A valid and pre-authorized credit card in the name of the guest registration is also required. It is your responsibility to fully understand the manner in which your bank processes pre-authorizations and charges to your credit/debit card. Some banks hold pending authorizations for up to 30 business days.
We may pre-authorize your credit card anytime after booking in order to confirm the reservation. A pre-authorization is a temporary hold of a specific amount of your available credit limit balance placed on your credit/debit card for the full amount of your intended stay, plus tax. Pre-authorization is not a charge to your account, it is a hold on those funds. Once your actual charge is posted at check-out it can take anywhere from 24 hours to 30 days for the original pre-authorization to be removed by your bank. Generally, most banks release the hold within 3-5 days. It is your responsibility to be aware of how your bank handles all of your transactions, including pre-authorizations. We are unable to remove pre-authorizations directly through our hotel.
We require valid contact information from the guest making the reservation including; first and last name, phone number, and email address. Information regarding your license plate/car description may also be gathered at check-in for security purposes.
PUBLIC RECORDS CHECK
At the time of booking, the guest’s information may be submitted to a public records search at the request of our partner communities. Locale reserves the right to cancel a reservation if the public records check is not passed. In this scenario, a full refund will be given to the guest.
Room rental period expires at 11:00 a.m. Later options may be available and incur a Late Check-out Fee. If you require a later check-out, please contact our staff prior to the day of your departure and we will do our best to accommodate your request. Unapproved Late Check-outs are subject to a Late Check-out Penalty of $25 for every 30 minutes beyond 11:00 a.m.
All special requests are noted on reservations and we will make every effort to honor these requests, such as a specific floor or apartment number, adjoining apartments, etc. upon your arrival. However, the availability of these items cannot be guaranteed in advance.
CHECKS AND CHECK CASHING
We do not accept checks. We do not provide check cashing services.
DEPOSITS AND GUARANTEES
There is no deposit required to make an individual apartment reservation. However, a major credit card is required at the time of booking to guarantee the room and secure the reservation period.
All rates are quoted in United States currency, plus tax. Rates may increase without notice.
RIGHT TO REFUSE SERVICE
All Locale apartments are privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws. Locale has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our accommodations or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the State of Texas and the owners for the operation and management of the hotel. Locale will refuse service or cancel a reservation and provide notice to vacate for refusal or failure to pay for accommodations, if someone is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of others or is not in compliance with state liquor laws; uses language which or acts in a manner which mistreats or threatens a Locale or partnered community associate/resident/guest, acts in a disorderly fashion as to disturb the peace of others; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by Locale.
10:00 p.m. to 7 a.m. If you become aware of a disruptive guest, please contact our team. Televisions, voices, or other devices must be kept at a respectful low level at all times. Doors should be opened and closed quietly. No congregating or running in halls.
No visitors after 10:00 p.m. Visitors must be accompanied by the registered guest at all times. Visitors are not allowed to use guest amenities including the rooftop pool, gym, and business center. As a registered guest, you are responsible for your visitor at all times.
Reservations must be guaranteed with a valid credit card and identification.
Locale is not responsible for weather conditions, personal emergencies, or schedule changes. Reservations must be canceled according to the policy at booking if any refunds are to be received.
For stays shorter than 30 nights, you will be charged the full cost of your stay 3 days before arrival, in accordance with our Cancellation Policy. Unpaid reservations are subject to cancellation.
For stays of 30 nights or more, you will be charged the full cost of your stay after the 48-hour cancelation grace period unless a payment plan has been established with our Guest Experience team. If a payment plan has been established, your first installment will be charged after the 48-hour cancelation grace period.
If you did not book your reservation directly with Locale, please contact your booking agent (e.g., Airbnb, Expedia, Booking.com) for details on their cancellation policy.
NO SHOW CHARGES
Failure to check in on the scheduled arrival date for a reservation guaranteed with a credit card will result in the full cost of the reservation being charged.
DO-NOT DISTURB AND ACCESS TO APARTMENTS
To provide all of our guests with an exceptionally clean and safe lodging experience, we reserve the right to enter your apartment for reasonable purposes, such as for housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our House Rules. Our staff will normally knock and announce themselves before entering your apartment, unless we believe that exigent circumstances exist. Please contact us if you are a “Day Sleeper” or you are staying in the room due to illness. Management reserves the right to enter a room with a known status of “Do Not Disturb” in the event of an emergency, suspected illegal activity taking place, disturbing other guests, or damage being done to hotel property. In the event of suspected illegal activity, management reserves the right to cancel the reservation, deliver notice to vacate the accommodation, and summon law enforcement. The right to privacy ends when a House Rule is broken. Law enforcement will be granted immediate access.
Guests must be 21 years of age or older with valid identification to book a reservation and check-in at Locale properties.
Well behaved children of all ages are welcomed. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must supervise them at all times. For safety reasons, please do not leave children unattended in apartments or allow them to roam the property unsupervised. Children under the age of 13 are not allowed in the pool area without being accompanied and supervised by their parent/guardian/chaperone.
PET POLICY & SERVICE ANIMALS
Most Locale properties do not allow pets, however, service animals are always welcome. Guests must disclose any pets before their check-in date and pay applicable fees. For any guests that are found with a pet that did not receive prior approval, fees will apply. Any damages caused by pets upon checkout are the responsibility of the registered guest for each particular room. Any costs associated with deep cleaning and/or repairs will be charged to the credit card of the registered guest.
Room occupancy requirements are based on fire code/fire safety restrictions. Guests are required to comply with maximum occupancy limits. Please refer to your Booking Channel or Company Website for the maximum occupancy of the Locale apartment you have reserved.
APARTMENT KEYS / ACCESS CODES
Access codes are issued to the registered guest(s) on the day of arrival. No access codes will be issued to youth under 21 at any time. No room keys will be issued to youth under 21 at any time.
PARKING PASSES, POOL WRISTBANDS
Your specific Locale apartment may include parking passes and/or pool wristbands. Failure to return these items at checkout will result in a fee for each unreturned item and will be charged to the credit card of the registered guest.
Each Locale apartment is cleaned prior to your arrival. Nightly housekeeping is not provided. Further cleanings may be scheduled for an additional fee.
LOST & FOUND POLICY
Locale assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please contact our staff immediately.
Registered guests of legal age who choose to bring their own alcoholic beverages must consume those in their apartment. Alcohol is not allowed in public areas such as the lobby, hot tub, halls, etc.
FIREARMS AND WEAPONS
The safety and security of our guests and staff is extremely important to us. Our Firearms and Weapons Policy is designed for the protection of our guests, vendors, staff, and owners, and pertains to the presence of firearms and weapons on hotel premises. Locale guests are not permitted to carry firearms or weapons on premises.
IN CASE OF EMERGENCY OR FIRE
Please notify our staff and call 911 immediately.
FIRE SAFETY POLICY
The hotel is fully equipped with smoke detectors.
POOL & AMENITY AREAS
Visitors are not permitted in the pool area. Adult supervision is required for all children under the age of 13. No lifeguard on duty.
FREE WIFI ACCESS
WiFi is free for registered guests. The WiFi access code is subject to change without notice. WiFi signals are subject to change without notice depending on the room’s location, the status of our WiFi-equipment, and interference from other local wireless signals. Locale assumes no liability for guest use. Abuse, or illegal activity, while using the provided WiFi will result in revocation of access.
All staff are trained and required to respond to potential violations of our House Rules. Guests who refuse to abide by the reasonable standards and policies established by Locale for safety of all guests, staff, owners, property, and the operation and management of the property will have their reservation canceled, with no refund and be provided notice to vacate the property. In addition to the room charge, a deep cleaning fee ($150), per room, may be charged for infraction(s) of our House Rules which pertain to cleanliness.
TERMS & CONDITIONS
Locale makes its best efforts to ensure that all the information that appears on its website is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free. Locale does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice.
The cleanliness of our rooms is extremely important to our guests. If you bring any infestation into your room or onto our premises, we may charge you for any and all costs and expenses, including immediate or urgent response requirements and loss of room revenue, that we deem necessary to address the infestation.
PARKING AT OWN RISK
All vehicle(s) must be listed on the registration at check-in. Parking for registered guest(s) may be subject to a nightly fee. All vehicles are parked at the risk of the owner. Locale shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the property. If a vehicle is left in the parking lot after the guest has departed without the written consent of Locale, we reserve the right to have the vehicle towed at the owner’s expense. No vehicle repairs on hotel premises.
DAMAGE AND/OR THEFT OF PROPERTY
You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the apartment(s), premises or property caused by you or any person in your party whether or not staying at the hotel during your stay. Locale reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by Locale as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting a specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.
EXCESSIVE CLEANING REQUIRED AFTER CHECK-OUT
Apartments found with waste strewn around, in complete disorder, and/or “trashed” will be subject to a $150 deep cleaning fee. The necessity of excessive cleaning is determined by Locale at its sole discretion. Additional administration fees and/or third-party fees may also apply. Locale reserves the right and you hereby authorize us to charge your credit card and/or debit card for the cost of any excessive cleaning.
DAMAGE TO APARTMENT
Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.
DAMAGE TO MATTRESSES AND BEDDING
Damage to mattresses and linen including; mattresses, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.
DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT
Locale reserves the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will have their reservation canceled and be required to leave the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.
CHANGES OR MODIFICATION TO THE HOTEL POLICY/HOUSE RULES
Locale reserves the right to amend, modify, change, cancel, vary or add to these House Rules or the arrangements and content featured on our Hotel website at any time without prior notice. Please check our website regularly for updates to our House Rules. Any modification to these House Rules that occurs before your departure is considered a part of your reservations agreement with us.
Services & amenities may change without notice due to COVID-19. Furnishings and floor plans of assigned units may differ from photographs on Locale.com and 3rd party listings.
